How to Compress Outlook PST Files

Notes: We recommend users to take the backup of the original PST files as all the attachments will be permanently removed from the emails while compression process.

Open SysTools PST Compress . Go to Start menu » Programs » SysTools PST Compress » SysTools PST Compress. Software will display the following screen:

Now next step is to choose Outlook PST files to compress them to a new compressed PST file. To select PST files, click on Add File button as shown below in the red marked area:

After clicking on Add File button button following screen appears.:

Select the PST file and click on Open button. After selecting number of PST files, software will list all the selected file as shown under:


Note - If you want to remove selected PST files from list of files, first select the file and click on Remove button to remove the file from the list of PST file as shown below:

Now next is to select the folder to save compressed PST file. Click on Browse button to select the folder to save compressed PST file as shown below:



After clicking on Browse button button following screen appears.:

Now choose the location where you want to save the Compressed PST file and click on OK button. After selecting location for saving compressed PST file, software will display following screen:



Now click on Compress» button to start the process of compression of Outlook PST File. On clicking Compress button software will display following box:

Select the appropriate option to compress PST File. Choose the appropriate option from following:

  • Remove Attachments - With this option, users can compress PST files without saving the attachments. This option will remove or delete all the attachments.
  • Extract & Save Attachments - With this option, users can extract the attachments and the attachments will be saved in a separate folder.
  • Extract, Save & Compress Attachments - With this option, users can extract the attachments and the attachments will be saved in a zipped format (.zip file) in a separate folder.

Now click on Compress PST Files button to actually start the process of compression of PST files as shown below:



After compressing PST files, the software will display a box as shown below:
